Tips In Doing A Newsletter Proofreading And Its Importance

By Carol Gray

There are several ways for marketing a business and gain customers more to make the venture they have a success. This includes posting some advertisements in various places like in radio, newspaper, billboards and even television. They can post them also on websites that are not theirs to invite people visiting that site to check their websites including their products and services.

Another way of advertising is through sending newsletters to people, either by traditional mail or with emails instead. But before you send them, make sure you did a newsletter proofreading to ensure there are no errors with what you have written. This includes mistakes in spelling, grammar and other linguistic rules to prevent giving a bad impression to others.

Doing this is important because it gives your recipients an impression that you are serious with your message and have taken care with its composition. It helps them understand your message better and avoid confusion or misunderstanding when reading the newsletter. This provides your company with a good professional image among your current and potential customers.

Meanwhile, making mistakes with the composition of your newsletters reflects very poorly with your company and might give you an unprofessional image. This is because it shows you do not take the time and care in making sure everything is correct before mailing it to them. And this can cause confusion even due to misunderstanding the message you want to convey.

These errors would probably have a negative impact on the reputation of your company and fixing it after is very expensive. This includes putting the incorrect pricing of your services or products that results in customers having false expectations. Or the information about the services or products are not completely true, putting you in a bad position and making it very difficult to explain.

There are many things you could do while proofreading the message like reading loudly then silently again. This informs you the way it sounds which might help in determining the grammatical errors it has so that would be immediately changed. If you read it multiple times, you probably will notice the spelling mistakes which are not that obvious at first.

You can use grammar and spell checker applications that are available online and could be used freely by people. But never depend upon it because not all errors are detected by it and sometimes they detect those which are not really incorrect. Using them to be your first screening is advisable usually to help in starting the proofreading process.

Do not proofread for all kinds of mistakes at once but instead do separate ones for spelling, grammar, spaces, contractions and apostrophes. List down the most common errors you or the writer makes and check for them during another read through. Take note of these changes you made to avoid making the same mistake again next time.

Let another person proofread it also since they might detect mistakes which you have not detected. This is specially true when you are proofreading your own work. This is because you have been very familiar with your writing style already.
